ChatGPT for companies — what it’s good for, what it isn’t, and which account you need

At most companies, ChatGPT doesn’t arrive through a decision. It just shows up. Someone tries it at home, likes it, and the next day they’re writing quotes with it. A few months later half the team is using it, each on their own account, each in their own way.

Last reviewed: 25 September 2026

That isn’t a problem in itself — if anything, it means your team is open to it. The question is when it becomes a company tool, and what you can realistically expect from it. This guide answers those two questions.

Personal or business account: what’s the difference?

OpenAI offers two kinds of account. The personal plans (Free, Go, Plus, Pro) are meant for individuals. The business plans — ChatGPT Business for smaller teams (formerly called Team) and ChatGPT Enterprise for large organizations — are meant for organizations. The main difference isn’t in what the model can do, but in what happens to your data and who controls it.

Training on your data. On personal accounts, OpenAI may use conversations to improve its models unless the user turns this off (Settings → Data controls → “Improve the model for everyone”). On business plans it works the other way round: by default, OpenAI does not train on business data.

Data processing agreement. Under the GDPR, if you pass personal data to an outside provider, you need a data processing agreement. OpenAI signs one (a DPA) for its business plans and the API, but not for personal accounts. So if your staff work with customer data in ChatGPT, a personal account is the wrong framework from the start.

Who owns the know-how? On a personal account, the conversations, saved instructions and well-tuned ways of working belong to the employee. If they leave, they take it all with them. In a business workspace, the company manages membership: who has access, which external apps can connect to it, and how long data is kept.

Two details that matter on personal accounts too. If someone has turned training off but gives a thumbs-up or thumbs-down on an answer, OpenAI says the whole conversation it belongs to may be used to improve the model. A “temporary chat”, on the other hand, doesn’t go into the history and isn’t used for training — but it may be kept for up to 30 days for safety reasons.

Business plans are paid per user, and Business requires at least two paid seats. Check current prices on OpenAI’s own site, because they change often.

What is ChatGPT good for in a company?

Plenty of things that speed up one person’s work:

  • Writing: first drafts of emails, quotes and product descriptions; rewording, shortening, adjusting the tone.
  • Summaries: the gist of long documents, contracts and meeting notes.
  • Translation and proofreading.
  • Spreadsheets and data: a quick report, sort or check from an uploaded export.
  • A thinking partner: brainstorming, finding the weak points in a plan, preparing a difficult email.

For these tasks, a business ChatGPT account is a good investment — provided the team knows what to watch out for. That is what an AI usage policy is for.

What isn’t it good for?

This is where the misunderstandings start. ChatGPT is a very good chat window, but it is still a chat window: someone has to sit down, paste things in and copy things out.

  • It doesn’t work on its own. If the same twenty emails have to be processed every morning, with ChatGPT someone still does it by hand, just faster. A recurring process becomes automatic when it is built into your systems — and that is process automation, not chat.
  • It isn’t a source of truth. It can invent a figure, a name or a legal reference with complete confidence. Anything you send out is checked by a person.
  • It doesn’t know your company, only what you show it. On a business plan you can connect it to your document store, for example, but that still doesn’t tell it which price list is current and which is last year’s.
  • It doesn’t make decisions about people. Recruitment, performance reviews, credit assessment: under the EU AI Act these are high-risk areas. Here AI can at most prepare the ground. More detail: The EU AI Act for Hungarian SMBs.
  • It doesn’t fix a bad process. If a workflow is a mess, ChatGPT just makes it a mess faster.

If you already pay for Microsoft 365 or Google Workspace

Before you buy a new subscription, check what your current plan already includes.

Microsoft 365: according to Microsoft, users who sign in with a work account (Entra ID) can use Copilot Chat at no extra cost, with enterprise data protection: what they type falls under Microsoft’s data processing terms, and it isn’t used to train the models. Working across your company’s documents and email, however, requires a separate Copilot license.

Google Workspace: from early 2025, Google made a large share of the Gemini features part of its Business and Enterprise plans. According to Google, business content is not used to train models outside your company’s domain without permission. Exactly which features are available varies by plan.

If your team already works in these tools, this is often the smallest step.

Five questions before you decide

  1. 01Who uses AI today, and for what? If you can’t answer this, start there.
  2. 02Will customer data or personal data go into it? If so, a personal account is out of the question.
  3. 03Which office suite do you use? AI may already be included.
  4. 04Is there a rule on what can go into it? If not: AI usage policy, with a template.
  5. 05Do you want to speed up one person’s work, or replace a process? The first is chat; the second is automation.

If you get stuck on the process

ChatGPT is good at showing how much time goes on repetitive work — but that time is only freed up when the process itself changes. The operational audit shows where the most time is lost today, and at which point it is worth building a system instead of using chat.
